Administrators assign standard or user-defined roles to employees and configure feature access based on the roles.
Standard roles
The following standard roles are pre-defined in the system:
- Administrator
- HR Generalist with Level 1 access
- HR Generalist with Level 2 access
- HR Generalist with Level 3 access
- Recruiter
- Compensation Manager
- Job description reviewer
- Job description administrator
- Job description translator
- Ad-hoc employee
- Direct Manager
- Indirect Manager
The Direct Manager and Indirect Manager roles are automatically assigned and revoked based on an employee's direct and indirect reports. For example, an employee is automatically granted the Direct Manager role if they are assigned direct reports, and this role is revoked if their direct reports are unassigned.
User-defined roles
These roles are created in the system to meet specific client requirements. There are ten user-defined roles in the system:
- User_Role_1
- User_Role_2
- User_Role_3
- User_Role_4
- User_Role_5
- User_Role_6
- User_Role_7
- User_Role_8
- User_Role_9
- User_Role_10
The user-defined roles are defined in the business rules. For further information, refer to the article, ”Configuring the User-defined Roles".
How to assign employee roles?
- By default, these roles do not inherit any permissions within the system.
- All actual access permissions are instead configured within the job template editor.
- The user roles can be assigned based on an employee's primary responsibilities and authority within the system. For example:
- A junior HR employee might be assigned the HR Generalist Level 1 role.
- Higher-ranking HR employees could be assigned HR Generalist Level 2 or HR Generalist Level 3 roles.
- Anyone primarily responsible for recruiting can be assigned the Recruiter role.
- The Administrator role is given to an employee authorized to manage all JDXpert functionalities.
Role permissions
Administrators grant role-based access to the system modules such as:
- Home page quick links/left navigation options
- Job sections (tab pages)
- Job fields (building blocks)
- Data grid columns
- Job print previews
- Job workflow steps
- Toolbar options on various screens
- Side-By-Side job profiles
The customer determines the role-based access to the job template editor and quick links nodes.
To view the user role access for the nodes
- Right-click a quick link node and select Edit Node.
This displays the following screen:
- Click Export Nodes.
This displays the following screen:
- Click Download as Excel Workbook.
- Click Download File(s).
- Open the Excel file to view the node details as shown:
Column D (Security Profiles) displays each node's user access.
To view the user role access for the blocks
- Open the job template editor (JTE).
- Click All Blocks.
This displays the following screen:
- Click Export.
- Click Download File(s) to download the Excel file.
- Open the Excel file to view the details.
Columns Q and S (Viewability and Editability) display the view and edit access for all blocks.
