You can delete active or inactive user records manually or by using a remote task
To manually delete a user record
1. Navigate to the Admin Tools tab.
This displays the following screen:
2. Click Employee/User Functions node in the left pane, and select User Records.
This displays the following screen:
3. Select the User With No Employee Records in the Filter list.
This displays the users with no employee records as shown:
4. Use the search and filter options to further filter the list.
5. Select the employee records from the list and click Delete.
This displays the following message:
6. Click Yes.
This deletes the user records from the list.
If you delete an employee record without deleting the user record, an error message might appear when you re-add the employee record.
To delete all inactive user records
1. Navigate to Admin Tools and select the User Records node.
2. Select the Users With No Employee Records filter in the Filter list.
This displays the user records with no employee records as shown:
3. Click Select All.
This selects all user records as shown:
4. Click Delete.
This displays the confirmation message:
5. Click Yes.
This displays the confirmation message:
6. Click OK.
The user records are deleted.
To delete inactive user records using the remote task
You can use this method to delete a large number of inactive user records.
1. Navigate to Admin Tools and select the Remote Tasks node.
This displays the remote tasks in the system:
2. Select the Housekeeping remote task.
3. On the Manage Tasks menu, click Edit Task.
This displays the following screen:
4. Select the Terminated Employees checkbox.
5. Select the Keep Terminated Managers with Active Direct Reports check box to retain employees who are managers and have active direct reports.
6. Select the Delete User records without any Employee records checkbox to delete these user records.
You need to select both options in this remote task to clean the terminated employee data.
7. Click Save and Close.
The next time the remote task runs, it deletes the terminated employee data.
