You can update flags in job descriptions.
To update flags in jobs
1. Navigate to the Job Management tab.
2. Select single or multiple jobs.
3. Click More, point to Data Management, and select Update Flags.
If this option is not visible or disabled, check the UpdateAnyJobDescriptionFlag property in auth. settings.
This displays the Set Flag on Job dialog box:
Jobs in a workflow cannot be updated.
4. In the Select Flag to Update list, select the flag to be updated in multiple jobs.
5. Select the following flags:
Is Approved: If a job is approved at the end of a workflow. This is similar to being finalized, but a job can be flagged as Finalized and not be flagged as Approved.
Is Finalized: If the workflow of the job is completed and finalized.
Is New: If a job is newly created, but the flag can be toggled off if desired. This flag changes when the job is put through a Workflow.
Is Hidden: If a job is to be hidden. It will not be displayed in default searches.
Is Retired: If a job is to be retired. It will not be displayed in standard searches. It is useful for jobs that need to be on the record but are no longer actively in use.
Is Restricted: If a job is to be restricted. It removes access for most user roles.
Is Template: If a job is set as a template that can be used to create new jobs. This is useful while creating a new job from a base job.
Is Child: If a job is to be a child job.
Is Parent: If a job is to be a parent job.
Is Independent: If a job is to be an independent job. This means it cannot be made a child job or a parent job.
Is Default: If a job is to be a default job for employees that do not have a preassigned job. This is only used as a default job but other jobs can also be assigned to employees.
Is Archived: If a job is to be archived. Select this flag to enable archiving jobs in the system.
Is Draft: If a job is to be kept in a “draft state”. This is useful while creating a new job or editing a job, not in a workflow.
User-Defined: If a job is to be made searchable in various searches. For example, you require a flag for jobs that need to be revised by a certain team. You could set a flag and create a search filter for it to make the search easier for the team doing the review.
6. Click Select and Close.
This displays the Update screen.
7. Select the following check boxes:
Show Jobs where flag is true – To display jobs in the grid whose flag is true
Show Jobs where flag is false – To display jobs in the grid whose flag is false
This displays the filtered list of jobs.
8. Select the check boxes of jobs for which you wish to apply the filter.
This displays the following message after completing the process:
9. Click Ok to close the dialog box and screen.
To add sticky filters in the Filter list
1. Navigate to the Job Management tab.
2. Click More, point to Configure, and select Edit Authorization Settings File.
This displays the Edit Authorization Settings File screen:
3. Click Sticky Filter Flag Options in the left pane to expand the tree.
4. Select the filter which you wish to apply.
This displays the properties in the right pane.
5. Select the following option in the Enumeration Field tab in the right pane:
NA – To not apply any filter
IncludeOnly – To include those jobs if the flag is enabled (set to true)
Exclude – To include those jobs if the flag is disabled (set to false)
6. Click Apply Changes.
In this example, it will exclude (not display) the jobs whose IsRetired flag is true in the Job Management tab. This is a permanent setting for this tab.
7. Click Save and Close.
8. Click Ok.
