You need to follow certain rules while importing the job data by mapping the job code, job description name, or job Id.
Import Wizard Rules
The following fields in the Excel file must be unique:
Field | Description |
|---|---|
Job Description Name | If we consider job descriptions as files in a folder, the file name should be unique. Similarly, job records within the system must have a unique job name that is saved in the database as JobDescName. |
Job ID | Each job is assigned a unique ID saved in the database as JobDescID. |
Job Code | If job codes in the Excel file are unique, you can turn on this flag in the job code settings of the “Business Rules” section. The job code is saved in the database field JobCode. |
The following points are to be noted:
If your system contains duplicate job names, they can be made unique by concatenating with another field (for example, job code).
Use one unique field (job description name, job Id, or job code) to match the job description in the import file with the job that already exists in the system.
Job ID is preferred since it is always unique (if your import file contains the system job ID).
Do not choose Job Code unless they have been set as unique in your system; duplicate job codes will cause import errors.
If Job Code is not present in all records in the import file, select Job Name.
While renaming job descriptions, use Job ID or Job Code to match to the job in the system.
Make sure the field you are matching is mapped while importing.
The job codes and their corresponding database fields are described in the following table:
Database Field | Field |
|---|---|
Job ID | JobDescID |
Job Description Name | JobDescName |
Job Code | JobCode |
Import Wizard Errors
If the field which you are using to map in the wizard (job Id, job description name, or job code) is found in one or more job descriptions, the import will fail.
For example, if there are two jobs with the same job code, the import process will stop when it finds the second (duplicate) job code. To fix this problem, change the job code in any job or delete one job and re-run the import.
Use Job ID for mapping, since it is system-generated and unique.
Import Profiles
Import profiles are created or updated while using the import wizard. These profiles use the following parameters for importing data from Excel:
1. Excel file name
Excel file name is saved with the profile. Other Excel files can be imported using the same profile as long as they have the same worksheet name and data columns.
2. Worksheet settings
Worksheet name
Row settings
Formula column (Optional)
3. Master template
Determines available fields and other settings
4. Job Import Options
Matching field setting
Option to create new job descriptions when no match is found
Archive setting
Update options regarding jobs in the workflow
5. Excel column to database field mapping
Includes the ability to create user-defined fields
Custom script code (optional)
This import profile can also be used to import jobs using the import wizard, import dashboard, or remote (automated) task.
