When you open up the Form View, you will notice that it looks a lot different than it used to. For starters, we no longer have the tabs across the top. We have put them on the left hand side, stacked on top of one another, and you can click through to each one.
We have also changed the Form View so that when you open up a job description it always opens up in a view-only mode, to make changes to it you will need to click on the Edit button.
If this job is in a workflow, or if it is opened via the Search Library or Job Catalog, you will not be able to flip the edit switch. Edit functions are available through Job Description Management and only if you are allowed to edit them. You can then make the changes that you need and then hit Save and Close at the top left. Or if you are still wanting to just view the job description, you can hit Save on the bottom right. and then turn off the Edit switch.
Our preview pane is now called View Content. Clicking on View Content will open up the preview of the job description. Depending on your permissions and your configuration, you will also find the following features here:
- Attachments
- Bookmarks
- Similar Jobs
- Archived Jobs
If you hover over the chevron on the right side, more options will appear. Such as:
- Job Family
- Level Guide
- O-Net Occurrences
- And finally Job Posting
Another change to the Form View was to provide a quick way to access the Express Editor, which will allow you to edit the master template. If you hover your mouse just to the left side of a caption, you will see this tooltip: “Right click to edit help and/or customize this block”. If we would like to edit the pay grade, for example, we could right click just to the left of “pay grade” to see a drop down with either of these options: Edit the building block or Edit all building blocks.
Using the example to edit a single building block for pay grade, you can see where you can change the choice list. To do so, click on Edit Choice List
and add/edit/delete/or move your choices up or down. Once you are done making changes, click Save and Close.
To make changes to the entire form, the process is the same except that the selection would be to Edit all Building Blocks. This will open up the Express Editor for the entire job description template. Please note that your configuration may look much different than what you see here. Since you are upgrading your current system and have already gone through implementation, you may have fields that are not visible here or custom fields that have been created for you. You can reach out to your implementation specialist if you have any questions on this.
Depending on your implementation setup, as an Admin of the system, you will see two options across the top. Advanced Template Design, which will get you to the old Master Template form,
and Configure Tab Pages, which allows you to change the order of the tab pages, make them visible or not, change the tab page name, adjust the visibility based on roles, and finally whether or not this tab is printed in the print view.
There are two additional options if you click on the ellipses at the top right.
Main Style Settings, which changes the look and feel of the entire form and print view, so that you can use your company’s style guide.
And the Job Posting Template, which allows you to change the way the job posting displays.
Moving on to the main part of the Express Editor, you can see the tabs are on the left side, and you can navigate through them by clicking on them. You can move the building blocks up and down by dragging and dropping them where you would like to see them on the tab page. You can also set whether or not they are visible on the page by clicking on the eye. And finally, you can edit each block by clicking on the pen and paper icon next to the caption.
Once you have opened a building block, you can make changes to it individually by changing the caption, setting the caption visibility, and editing the help file and tooltip for that building block.
With the Styles tab, you can adjust the individual style of the building block if needed. But we do encourage you to change your styles using the Main Style Settings so that there is consistency throughout your form and print views.
The next tab, Access/Flags, allows you to change the visibility and the ability to edit the fields based on roles in the system. You can also update the flags associated with the building block to determine whether the field is Locked, Visible on Compare Jobs, Visible on Side-by-Side, Included in Print Version, Do not print if Blank, and finally whether or not to Show Grid Lines in Print Version.
The last tab is the Validations tab. Here you can set this building block to required or not; and if it is required, you can create the error message if data is omitted from the field.
