Let's take a look at the icons on the workflow toolbar.
By clicking under Share link,
I could share a job description with anybody inside or outside of the organization.
JDX will create a link that you can copy or embed in an email and send it off to whomever you choose. You can set an expiration date for viewing this job description.
If you wish to add another reviewer to this workflow, you can do so by clicking on the Add button.
Just enter their email address, their first and last name ,add them as an ad hoc reviewer and add them as a participant to the workflow. Once you do that, they could join the workflow step to review the job description.
By clicking on the Comment bubble, you can add a comment to this job description.
Add your comment in the text box and click Save and Close.
This comment is visible to anybody who is involved with this workflow.
Now let's look at the Workflow Details icon.
By clicking here, I could see the current state of the workflow I see that it is still with Harry Beltik and it needs to go to Compensation for finalization.
From this window, he can also approve the job description, compare it to see all the changes that have been made in this job description and view comments. The first icon you see is the Compare icon.
This allows you to see all the changes that have taken place in this job description while in workflow.
You can see all of the changes captured in a track-changes format, so text that it is added is in green text and text that is crossed out in red has been removed. If you click on any of the individual fields, you can see what change were made, who made that change and when that change was made.
If you would like to look at changes in a side-by-side view, this is also supported.
To Approve my step as Harry, the next step is Beth in compensation.
To send an email to let her know that this is coming her way, click on the Send Email button and add any comments that you wish to add to the email template. If you would like to send anybody else in the workflow an email, you can click Send courtesy e-mail to other participants For recipients who are not involved in the workflow, you can enter their emails under Courtesy E-mail CC.
Because it's only a two-person workflow, there is no one else to send this email to so we don't need to check this button at this point. Once we approve the step, the job description goes to Beth for finalization. After Harry has completed his work on this job description and he sends out the email indicating this, he no longer has access to edit the job description.
He will be able to view it but he will not be able to make any edits going forward. The only way he'll be able to do that will be if Beth, the compensation person, rejects the job description back to him. Now let's see what happens when Beth receives the job description.
