Once Beth gets her email from Harry, she’ll log in to JDX using either the URL that she has already or by using the link in her email. Jobs that are awaiting action will be listed under Tasks. The graph below will also show jobs that are under review. To see the email that she got from Harry, all that she has to do is to click on the Message link on the left panel of the Home Page to view all the emails that have come in.
To see more details with regard to open tasks, she can click on My Job Tasks which will show jobs that are currently under review, the workflow involved, and where that job stands in the workflow.
She can see that Harry approved the step and now it's with Beth, so Beth has some options. She could enter the job directly by either double-clicking on the job description or by clicking on the Edit button.
If she wants to do a comparison to see edits that have been done while the job is in workflow versus the original job description, she can click on the Compare icon.
If she wants to approve the job from this screen or reject it, she can do that too. Beth can also view comments and see more graphical depictions of the workflow.
The Workflow Details will indicate where the job is in a workflow status. It will also show the ability to compare the job, look at comments, save and close it and come back to it, or approve or reject the job description.
To reject it, just click on Reject to send an email back to the person to reject it back to. In this example, the job description will go back to Harry. Once Harry gets the job sent back to him, he will once again be able to edit the job and make changes to it. Besides these functions, by clicking on the three dots to the right, they will see additional options. They can restart the workflow, go back to a different step or delete the workflow entirely. These options are typically made available only for Compensation or an Admin of the system. When revisiting the job description as Beth as she makes some last-minute edits, you'll see some additional visibility available to Beth that was not available to Harry. For example, on the left-hand side here, we see Scope and Compensation information.
This was hidden from Harry and to you prior. If I click on the Edit button, you will also see that you can edit some additional fields they were locked to Harry before.
As we move ahead to the Scope section, you’ll see that the data here defines the scope of the job within the organization such as Freedom to Act and Problem Complexity and Problem Solving Timeframes; Level of Supervision Received; People Management, which indicates whether the job is that of an individual contributor or whether it manages people; the impact of the job within the organization, Contact with Others, and financial and budgetary responsibilities.
The Compensation section will indicate whether we have an incentive plan with the market-based salaries ranges are and show a salary min and max. We can market the price of a job if we don't have a market pricing system such as MarketPay, and we can upload documentation right here in JDX if we choose to do that.
In addition, we have our FLSA tab.
This brings us to the Department of Labor questions where the system will help the user determine whether or not the job should be classified as exempt or non-exempt.
If for some reason the results here do not equal what's in Job Information, you will see a warning up appear under Exemption Status. You can decide whether you want to change your exemption status to the determination from the questionnaire. Once we have completed our edits, we can Save and Close.
If you wish, you can go ahead and what was in the earlier version of the job description versus what is contained in the latest revision. You can Approve, Reject, look at Comments and again look at the Workflow Details. To approve the job from this window, just click the “thumbs up”. This will bring me to the finalization window.
You will see here that the finalization radio button is checked by default. The job will be flagged as approved once you finalize the workflow by clicking the button here.
If the change is so extensive that a new job description is required, clicking on the radio button below will create a new job from the one under revision. You'll be able to rename the job and assign it a new job code. Emails go out to participants of the workflow by just clicking on the check box in the finalization window and adding any comments you might wish to include. If you need to send a courtesy email to someone else--for example, your HR department or your recruiters who may need to know that this job description has been finalized, just enter the email address or addresses in the Courtesy E-Mail CC text box and separate them with a comma. Once you click on Finalize Workflow, this job has been approved and the workflow is complete.
