Now we can complete the edits and look at next steps via the workflow toolbar. By clicking on the Share link, you can share the job description with anybody inside or outside the organization.
JDXpert creates a link that you can copy or send in an email to whomever you choose. If desired, you can set an expiration date for the job description.
To add another reviewer to this workflow, click on the Add button.
Enter the email address, first and last name, add them as an ad-hoc reviewer and add them as a participant to the workflow.
They will receive an email and get a link to review the workflow.
Clicking on the Comment icon allows you to add a comment to this job description.
To add your comment, enter the comment, then click Save and Close.
The originator can edit the comment, which is visible to anybody who is involved in the workflow.
The Workflow Details icon will show you the current state of the workflow.
Here you can see that it is still with Harry Beltik and needs to go to Compensation for finalization.
From this window, you can approve the job description. You can also see the changes made in this job and view comments.
Returning to the job description form, the first icon you see is the Comparison icon.
This displays all changes that have taken place in the job description while in the workflow. The default display of these changes are in a track-changes format. Text that has been added is in green; text that is crossed out in red has been deleted from the job description.
By clicking on any of the individual fields, you can see what changes were made, who made those changes, and when the changes were made. Changes can also be seen in a side-by-side view. Completing this workflow as Harry, the next step would be to send it to Beth in Compensation.
To send an email to Beth Harmon, just select the check box, add any comments you wish to add to the email template.
You can also send others outside of the workflow an email a courtesy email by entering their email address in the Courtesy E-Mail CC text box.. If they are in the workflow, click the Send courtesy e-mail to other participants checkbox and add any desired comments.
Since this is a two-person workflow there is no need to select that checkbox. Once I’m done with email selections, I can click on Approve Step to advance the job description to the next step of the workflow..
Once Harry, the reviewer, has completed his work on this job description and selected Approve Step, he no longer has access to the job description. He will be able to view it, but he will not able to make any edits going forward unless the job is rejected back to him through a subsequent workflow step..
