Once Beth receives that email from Harry to login to JDX using either her URL or by using the link in her email, jobs that are awaiting action will be listed under Tasks. The graph below will also show jobs that are under review.
By clicking the link below, Beth should be able to access her tasks that way as well. To see her email from Harry, all she has to do is to click on a Message link.
This will display all emails that have come in.
To see more details regarding open tasks, she can click on My Job Tasks.
This will show jobs currently under review, the workflow involved, and where that job stands in the workflow.
We can see here that Harry approved the step and now it's with Beth. So, Beth has some options. She can enter the job directly by either double-clicking on the job or by clicking the Edit icon.
If she wants to do a comparison to see the additions done so far as compared to the original job description, she can simply click on the Compare icon.
To approve the job from My Job Tasks or reject it, she can select the Thumbs-up or Thumbs-down icon on the right toolbar.
She can also view comments or see more graphical depictions of the workflow by clicking on the Comments icon.
To view the workflow details, select the icon you see below.
This will show the workflow status of the job.
It will also show the ability to compare the job, look at comments, save and close it, come back to it, and approve or reject the job description. To reject it, click on Reject.
The system will send an email to the person to reject back to. In this case, it will go back to Harry. Once Harry receives the email and link, he can re-enter the job description, edit the job and send it back to Compensation. This back-and-forth can continue for as long as necessary.
Besides these functions, clicking on the ellipsis on right will provide you with additional options.
You can restart the workflow, go back to an earlier step, or delete the workflow entirely. These options are typically made available only for compensation or administrators of the system.
After making some final edits, we can Save and Close and click the Edit icon below:
Reviewing this job description, you will see the additional visibility available to Beth that was not available to Harry.
For example, on the left-hand panel, you will now see that Scope and Compensation Information is visible. This was hidden from Harry. By selecting the Edit button, you will also see that you can edit some additional fields that were locked from Harry before.
What you see below is the Scope section.
This basically defines the scope of the job within the organization such as Freedom to Act, Problem Complexity and Problem-Solving Timeframes, Level of Supervision Received the management of people (whether this job is for is an individual contributor or people manager) the Impact of the job within the organization, Contact with Others, Financial and Budgetary Responsibilities.
Moving to Compensation, you can indicate whether you have an incentive plan, identify salary ranges, and what the salary ranges (min and max) are allowed.
You can market price the job if you don’t have a MarketPay system. And you can upload documentation right here in JDX. if you choose to do that.
The next tab is the FLSA tab.
This page contains the FLSA questionnaire which helps determine whether job is exempt or not exempt.
By clicking on one of these buttons and completing the questionnaire, you can review the Department of Labor questions. Based on your answers, the system will determine whether the job should be classified as exempt or not exempt.
If for some reason, the result defined here conflicts with what is entered on the Job (Profile) Information section, you'll see a warning appear on the questionnaire page; you can change the exemption status for the job description. Once you have completed your edits, just Save and Close.
Again, if desired, you could go ahead and look at the comparison from the original version to this latest version. You can approve, reject, look at comments, and look at the workflow details. At this point, we’re ready to approve the job from this window.
Clicking the Thumbs-up will bring you to the finalization window.
You will see here that the finalization radio button is checked by default and the job will be Flagged as Approved. You can finalize the workbook by clicking the OK button below. If the changes are so extensive that a new job description is required, clicking on Save Revised Job as a new Job will allow you to do that. You will be able to rename the job and assign a new job code. Emails will go out to the participants of the workflow by just clicking the appropriate checkbox and adding any comments you wish to include.
If you need to send a courtesy email to someone outside of the workflow, for example, your HR department or your recruiters who may need to know that this job description has been finalized, just enter the email address (or addresses) separated by a comma. Emails will go out to them as well. Once you click on the Finalize Workflow, this job is approved in the workflow is complete.
