You can export the employee data or previous job data to Excel or XML files. This feature is usually used to backup the employee data and restore, if necessary.
To open the Export Employee screen
1. Navigate to the Employee Administration tab.
2. Using the search and filter options to find the desired employees.
3. Select the jobs which you wish to export.
4. Click Export, and then select Full Data Export to Excel or XML.
This displays the Export Employees screen:
To export the employee data in XML files
This should be used within the same organization or as a backup. The employee export contains the organization id., so the target entity should have the same organization id. as the source.
1. Select the following in the Export Range section:
- Selected Employees – To export the selected employees in the Employee Administration tab.
- All Employees – To export all employees
- Search/Filter Results – To export only the searched or filtered employees
2. Select All Employee Data (XML/JDXEE) in the Type of Export section.
3. Click Export.
This exports the data and displays the following dialog box:
4. Click Download File(s).
This downloads the XML files in a ZIP folder as shown in the following figure:
To export the employee data in an Excel file
1. Select the following in the Export Range section:
- Selected Employees – To export the selected employees in the Employee Administration tab.
- All Employees – To export all employees
- Search/Filter Results – To export only the searched or filtered employees
2. Select All Employee Data (Excel) in the Type of Export section.
3. Click Export.
This exports the employee data in Excel files and displays the following dialog box:
4. Click Download File(s).
This downloads the Excel file.
5. Open the Excel file to view it.
6. Click x to close the file.
To export the previous jobs of employees in an Excel file
1. Select the following in the Export Range section:
- Selected Employees – To export the selected employees in the Employee Administration tab.
- All Employees – To export all employees
- Search/Filter Results – To export only the searched or filtered employees
2. Select List Current/Past Jobs (Excel) in the Type of Export section.
3. Click Export.
This displays the following dialog box:
4. Click Download File(s).
This downloads the Excel file.
5. Open the Excel file to view it.
6. Click x to close the file.
