You can add an ad-hoc participant in the workflow to approve or review the job. Ad-hoc users are the employees who don’t have the system access.
Overview
- Ad-hoc users do not require system access.
- Ad-hoc users receive workflow emails (containing the ad-hoc portal links) at the email address provided upon addition.
- Ad-hoc users can be added at any step of the workflow.
To add an ad-hoc participant
1. Click the placeholder as shown in the following figure:
You can add ad-hoc users in the workflow if they are defined in the workflow.
This displays the Add Participant screen:
3. Select Ad Hoc Users in the Filter list.
This displays the list of ad hoc users:
4. Select an ad-hoc user from the list and click Add Participant.
If the ad hoc user is not listed, you can add a new ad hoc user.
a. Enter the email address in the Email Address box.
b. Enter the first name in the First Name box.
c. Enter the last name in the Last Name box.
d. Click Add Ad Hoc.
This adds the employee to the list as shown:
5. Select this employee and click Add Participant.
This displays the employee as shown:
Ad-hoc participants receive the review link at the email address they provide. This email address can be any valid address.
