You can view, track, and resend the emails in the Email Center.
To open the email center
1. On the Advanced Tools menu, click Admin Tools.
This displays the Admin Tools tab.
2. Click the Activity and Notifications node, and select Email Center.
This displays the following screen:
This screen contains the following sections:

Email Category List – Contains the email category list
- Pending (count) – Displays the list of pending emails and their count
- Held by Admin (count) – Displays the list of emails held by the administrator and their count
- Sent (count) – Displays the list of sent emails and their count

Toolbar – Contains the list of action buttons
- Send Email – To resend the same email to the recipients
- Delete Email – To delete the email
- Check All – To select all emails
- Email Properties – To display email properties

- Search and Filter Options – Contains the search and filter options to find the desired emails

To view the email details
1. Select the email category in the left pane.
2. Use the search and filter options and click Search.
For further information on using the search and filter options, refer to the article, “Searching the Employees.”
3. Click Search.
4. Select an email from the list.
This displays the email details as shown in the following figure:
Due to the high volume of generated emails, messages from the Email Center and user inbox are automatically deleted after one year.
To export email details in Excel format
1. Use the search and filter options to find the desired emails.
2. Select the required emails in the list.
3. On the Export menu, click Export Grid to Excel.
This displays the result on the screen as shown:
4. Click Download as Excel Workbook.
5. Click Download File(s).
This downloads and saves the Excel file.
6. Open the Excel file and view it.
To export the email contents in Excel format
1. Use the search and filter options to find the desired emails.
2. Select the required emails.
3. On the Export menu, click Export Email Contents from Grid to Excel.
This displays the results in the following screen:
4. Click Download as Excel Workbook.
This displays the following screen:
5. Click Download File(s).
This downloads and saves the file.
6. Open the Excel file to view it.
To resend emails to the same recipients
You can resend the emails to the same recipients. There may be scenarios when recipients require the same email.
1. Click the Sent folder.
This displays the emails sent to all users in the system.
2. Use the search and filter options to find the desired mail.
3. Select the required mail and click Send Email.
This sends the mail to the same recipient.
To resolve the issue when emails are held by the admin
There may be a scenario when workflow participants or other users do not receive the emails and are displayed in the “Held by Admin” folder.
1. Select the Held by Admin folder in the Email Center.
This may display emails in the folder as shown:
These emails are not delivered and are kept on hold by the administrator.
To send these emails manually
You can manually send these emails.
1. Select an email in the list and click Send Email.
This releases the email.
To resolve this issue
1. Navigate to the Admin Tools tab.
2. Click Other Administration Tasks and select the Miscellaneous Settings node.
This displays the following screen:
3. Go to the Email Settings tab.
4. Click Edit Email Settings.
This displays the following screen:
5. Set the PreviewEmails property to False.
If the PreviewEmails property is set to True all emails are held and released by the administrator.
6. Click Save and Close.
This displays the following message:
7. Click OK.
