To edit the workflow profile
- Navigate to the Admin Tools, and select Edit Employee Workflow Profiles.
- Click the Edit icon of the workflow profile:
This displays the following screen:
This workflow can also be a two-step workflow: manager approval and employee sign-off.
To allow ad-hoc participants on a step
- Select the workflow name in the left pane.
This displays the following screen:
- Select the Job Workflow Properties tab, and select the This is a JDXApps Workflow check box.
This updates the tabs as shown in the following figure:
- Click Edit Ad-Hoc Settings.
This displays the following screen:

- Click Edit Mode in the Employee Acknowledge Job Description - Screen customizations section.
This displays the following screen:
- Update the necessary elements and click Save and Close.
To customize employee acknowledgment job description screen when the employee step is not active
- Click View Mode in the Employee Acknowledge Job Description - Screen customizations section.
This displays the following screen:
- Update the necessary elements and click Save and Close.
To customize employee acknowledgment job description help instructions when the workflow step is active
- Click Edit Mode in the Employee Acknowledge Job Description - Help Instructions section.
This displays the following screen:
- Update the necessary instructions, and click Save and Close.
To customize employee acknowledgment job description help instructions when the workflow step is not active
- Click View Mode in the Employee Acknowledge Job Description - Help Instructions section.
- Update the necessary instructions, and click Save and Close.
To add email profile rules
- Select the JDXApp Emails tab.
- Click Add.
This displays the following screen:
- Select the Profile Email Rule from the list and click Select and Close Form.
This displays the following screen:
- Enter the details as shown:
- Click Save and Close.
This adds the profile rule as shown:
To add email participant rules
- Click Add.
- Select Employee Sign-off\Employee Review in the list, and click Select and Close Form.
This displays the following screen:
- Select the event for which you wish to send the email in the Event that triggers this Email dropdown list.
- Select the sender of the email in the Sender of this email dropdown list.
- Select the recipient in the Recipient of this email dropdown list.
- Select the message type in the Message Type dropdown list.
- Enter the email template as shown:
- Select the Expressions and Rules tab, and add the expression.
- Click Save and Close.
- Repeat these steps to create emails rules for separate events.
The following screenshot shows a two-step workflow profile and its email rules:
To set the workflow profile as an ad-hoc workflow (Legacy Functionality)
This is a legacy functionality and is no more supported in the V2 version.
- Select the Job Workflow Properties tab.
This displays the following screen:
- Select the This is an Ad-Hoc Workflow checkbox.
- Click Save and Close.
This displays the following message:
- Clear the This is an Ad-Hoc Workflow checkbox.
- Click Save and Close.
To configure the workflow steps
- Select the Workflow Steps tab.
This displays the following screen:
The steps to configure workflow steps within the employee acknowledgment workflow profile are similar to those in the job workflow profile. For further steps, refer to the article, “Creating a New Workflow Profile.”
To set the default email rules for each step
- Select a workflow step, and click Edit.
This displays the Edit screen:
- Select the JDXApps Email Rules tab.
- Click Set Defaults.
This displays the following message:
- Click Yes.
This replaces the existing rules with the default rules and displays as shown:
You can update the email rules as per the steps given in the previous section.
- Similarly, set the default email rule for the other workflow step.
- Click Save and Close.
- Click Save and Close.
To set the default initial step of the workflow
You can set the default initial step for the workflow profile
- Select the workflow profile in the left pane.
- Select the Allow user to set initial step checkbox.
- Enter the default initial step as shown:
When a new workflow is created, the default step is selected.
4. Click Save and Close.
To set the due date (auto-approval) date for the workflow step
The workflow step can be auto-approved after a specific time period. This option is used to auto-advance the workflow.
This feature uses the remote task.
- Edit the workflow step.
- Select the Due Date/Auto-Approval tab.
- Select the This Workflow Step is Auto-Approved on the Step Due Date check box.
- Select the appropriate option in the Due Date Rule list.
- Enter the number of days after which you wish to auto-approve the workflow in the Number of Days box.
The workflow will be auto-approved after the specified days.
- Click Save and Close.
