This article describes the overview of the JDXpert user interface.
Overview
- JDXpert has a robust user interface for integrating with third-party systems.
- There are tools in the application for setting up multiple export and import profiles.
- The profiles specify the mapping to and from fields in JDXpert. These profiles can transform and format data to meet client and third-party system requirements.
- The defaults can be added to imports and exports, as well as logic and calculations, as per client requirements.
- Once finalized, the profiles are scheduled to run autonomously, posting and/or retrieving data. The client will define the schedule – daily, weekly, monthly, or on-demand, along with a specific time (or times) or hourly.
The data is posted through the following formats:
- Files - .XLSX, .CSV (comma-delimited), .PSV (pipe-delimited), .XLSM (Excel XML), .XLSB (Excel Binary)
- WebAPI – Real-time and scheduled
PGP encryption may be used if desired.
For physical files, JDXpert can send files to a JDXpert sFTP directory or an sFTP directory provided by the client or third party. The notification is emailed to the client indicating the status of the interface and including a log file detailing the results.

Import profiles
An import profile is set up in JDXpert for each employee and job import. Upon importing the file for the first time, the Import Profile wizard walks you through the import options, such as update jobs only or update jobs and create new jobs and which unique field to match on.
The mapping screen allows each incoming field to be mapped to a field in JDXpert. Logic can be performed on incoming values to transform them as needed, for example, if an “I” indicates Inactive in the ‘Status’ column, this can be transformed to flag the employee as Terminated.

Once the profile is completed, it may be reused for future manual imports and to schedule an automated import.
Export profiles
- An export profile is set up in JDXpert for job and employee exports.
- The client provides the list of fields necessary for the data export.
- Jobs or employees can be selected for export, or all records can be included in the export.
- Criteria can be defined, such as only approved jobs, jobs with changes since the last export, and jobs with specified values in one of the fields.
- Exclusion criteria can be added as well, such as jobs with ‘Test’ in the title or retired jobs.
- Fields can be selected in the mapping screen. These fields can be transformed, for example, date formatting. Fields can be created based on logic, such as if-else statements. Fields with a set of options for selection in JDXpert can be transformed if the receiving system has a different set of options for that choice list.

Once the profile is completed, it may be reused for future manual exports and to schedule an automated export.
Flat file integrations
Imports
For job or employee imports into JDXpert, JDXpert will provide standard file layouts. These layouts indicate which fields are required for importing new records and updating existing records. These required fields will include a unique id that allows the incoming record to match to an existing record for updates. The client may add fields to the file as needed. The client defines the import schedule. For employee imports, the client will determine how JDXpert should handle terminated and/or non-active employees – by simply flagging them as such, and/or disabling access, or automatically removing them from JDXpert.
JDXpert can import Excel, CSV, and PSV files.
Exports
For most job or employee exports from JDXpert, the client provides the file layout, including which fields are needed, formatting, and requirements. The client defines the criteria for job or employee record selection and the export schedule. JDXpert will create the file(s) and upload them.
Some third-party applications, such as the Applicant Tracking System, Cornerstone require multiple files. A master job file is required, listing jobs with a unique identifier (job id) along with basic job data (that is, title, description, and so on.). One or more job detail files would accompany the master job file, each including the unique identifier (job id) and one or more rows per job. These files typically include essential functions, responsibilities, qualifications, etc. The client determines which data is needed from JDXpert.
JDXpert can export Excel, delimited text (CSV, PSV), and XML files.
WebAPI integrations
Real-time integrations
JDXpert offers real-time WebAPI integration with Workday. Job Profiles and Positions can be imported and exported using Workday Web Services, which allows for a real-time exchange of data. Reference Tables from Workday can be downloaded into JDXpert easily using Web Services. Clients can also incorporate their custom-defined data structures from Workday into JDXpert.
To use the Workday integration, JDXpert will configure the EIB profiles with client and Workday input. Once the configuration is complete, the client can select one or more jobs to upload to Workday in real-time.
Scheduled integrations
JDXpert offers scheduled WebAPI integrations. This has been done with but is not limited to, BrassRing, Taleo, and iCIMS integrations in the past. These function much the same way as the flat file integrations, with regards to the export profile set up. The scheduling part is where the difference comes in. The export profile is used as a template for the data. Once JDXpert collects the data, it is formatted accordingly, and API calls are performed in batches.

JDXpert can accommodate most file layouts and formats required by the client or third-party application. These layouts are typically unique to a client, even within a single third-party company. The file layouts depend on fields used in the third-party system and in JDXpert by the client, so the layouts can be highly unique.
